In Teams, a qualifying organizer can give all participants translated captions; a qualifying attendee gives access only to that attendee. That difference can change which licenses your purchasing team needs. Zoom and Meet require their own host, edition and guest checks.

Four organizers, thirty employees
Consider a fictional team with thirty staff and four people who schedule its recurring Teams supplier calls. Start by inventorying those four organizers’ existing entitlements. Quote only the missing ones after confirming guest access. Staff headcount alone does not tell procurement how many add-ons to order.
Supplier-created invitations and substitute organizers need separate checks. An employee’s successful demonstration under a personal license does not answer either case. The organizer-and-guest worksheet includes the example recommendation and leaves untested access pending.
Test the invitation you will send
Use the real organizer account, meeting type and supplier’s expected client. Then check three things:
- Access: can the guest find and enable translated captions without administrator help?
- Exchange: can each side follow the presentation and the reply in the other language? Record who changes the spoken-language setting.
- Follow-up: can the intended reviewer open the required record afterward?
The last check is separate from caption access. Teams does not save captions; transcription is another feature. Translated text, spoken translation and a searchable translated transcript also have different availability conditions.
Keep native captions when they cover the exchange and your action sheet is sufficient. Change licensing or policy when that is the remaining obstacle. If a cross-platform translation or retained-record requirement is still unmet, take that specific gap to the meeting-assistant comparison .
