Multilingual Shift Handovers: Carry the Open Exception Forward

At the morning handover, “the next shift will check the labels at five” is still an unfinished instruction. Which person accepted it, and which five o’clock?

Give the open exception one record that survives the shift change. In the fictional PACK-07 example, Aki Tanaka accepts the label count for September 7, 2026 at 05:00 JST, correcting a draft that said 15:00. The quantity remains unknown until she checks it.

Fictional exception HO-260907-04 for PACK-07: Aki accepts the 05:00 JST check, replacing 15:00. At 05:00 she records 120 labels in STOCK-DEMO-07. At 13:00 Luis accepts a 14:00 delivery check. The same exception remains open because replenishment arrival is unknown.

The English/Japanese handover card contains the read-back and the following shift’s update. Luis can see what Aki learned and what he has accepted without replaying the whole call. The 120-label count alone does not establish whether production has enough stock.

Let the incoming supervisor complete the exchange

Ask the incoming supervisor to repeat the equipment ID, accepted action and full check time. Keep the original wording beside any correction, and name a person for the remaining question. “Next shift” is a destination for information, not an accepted owner.

HSE’s handover guidance emphasizes preparation, a two-way exchange and an incoming-team cross-check, using verbal and written communication. The card supports that exchange and its continuity. HSE guidance .

For bilingual discussions, prepare approved equipment names and choose a position where both supervisors are intelligible. Retain unconfirmed quantities as unconfirmed. A terminology dictionary cannot decide which of two similar identifiers the speaker intended.

A maintained spreadsheet can carry open items forward. Name a backup for an absent owner and use the plant’s escalation path if the next check is missed. VoicePing’s cited guide does not establish a native write integration into Tempo or Seqonis; the supervisor enters the reviewed update through the site’s process.

Try one non-sensitive handover, then inspect its card at the next shift change. The incoming supervisor should be able to identify the latest evidence, accepted next owner and unanswered question. Keep emergency communication and operating authorization in the plant’s established procedures.
